Medical Group Hair Transplants
Article 1.0: Understanding and Acknowledgement
1.1 : The nature of the procedure will be explained to the patient as well as its risk and permanent nature
1.2: The patient will receive written pre operative instructions and will read and confirm that they are fully understood.
1.3: The patient will receive a written medical history form to complete at the time of reservation. The patient must inform the Medical Group in advance of their procedure of all medical conditions he/she is aware of including, but not exclusively:
1.4: Merchant City Medical Group shall not be held liable for any damage occurring as a result of the patient´s failure to disclose such details
1.5: The patient will inform the Medical Group of all medications taken in the last 30 days.
1.6: The patient should avoid taking Aspirin or Ibuprofen from seven days prior to their procedure and must inform the Medical Group if they have done so.
1.7: The patient should avoid alcohol from seven days prior to their treatment and must inform the Medical Group if they have done so.
1.8: The patient should avoid the use of Minoxidil from seven days prior to their treatment and must inform the Medical Group if they have done so.
1.9: Pre and post op patient photos will be taken and are to be used at the Medical Group´s discretion and in accordance with its legal requirements for documenting all work done. The patient can request for his or her identity to be kept private.
1.10: Merchant City Medical Group reserves the right to amend the terms and conditions at any time and without prior notice.
1.11: Merchant City Medical Group reserves the right to amend our pricing structure at any time and without prior notice.
Article 2.0: Treatment
2.10: For best results, the patient must comply with our written and verbally given aftercare instructions, which may include medical treatments to halt further hair loss, attending suture removal and other post operative appointments.
2.11: Results can span 12-24 months. The Medical Group may request results are allowed to fully mature before assessing final results. Cases are considered closed 3 years post procedure.
2.12: Merchant City Medical Group will not be held liable for any associated costs connected with having aftercare or follow up treatment to deal with any possible complications, this includes travel, accommodation or economic costs to the client relating to time taken off work or loss of potential earnings.
2.2: The patient understands the limitations of hair restoration surgery and the expected outcome of treatment prior to commencement.
2.3: The patient understands that a hair transplant procedure merely transplants existing hair from the donor area to the recipient. This process does not have any control over the future, continued and progressive loss of existing hair on the scalp.
2.4: Hair transplantation is a medical redistribution procedure that moves your own natural hair from one area to another, it does not create any new hair, nor does it stop the balding process. The results of a hair transplant will depend on the ratio between the demand (balding area) and the supply, (size and density of the donor area), as well as on the patient’s natural healing ability.
2.5: When undertaking a Merchant City transplant, you are paying for our expertise and experience in hair restoration, but not for a specific result. All photographic examples shown in the consultation and/or marketing material are for illustration purposes only and the patient fully understands that no guarantee can be given as to the exact outcome of this or any other medical procedure.
2.6: It is not possible to implant hairs too closely together as some space has to be allowed for healing. The patient can always elect to have further hair transplant sessions to add more density to an area or to cover larger areas, providing the surgeon deems it appropriate for his or her case.
2.7: The patient understands that there may be discomfort associated with the treatment. Other side effects may include slight bleeding, redness, numbness and swelling.
2.8: The patient understands that hair restoration procedures may result in detectable scarring. The Medical Group will undertake the procedure with the aim of minimising any potential scarring in the case of both FUE and FUT hair transplant procedures.
2.9: The patient understands that over the long term, transplanted hair will mirror the behaviour of the hair in the donor region. This means that should the donor hair become thinner over your lifetime, so can the transplanted hairs.
2.10: For best results, the patient must comply with our written and verbally given aftercare instructions, which may include medical treatments to halt further hair loss, attending suture removal and other post operative appointments.
2.11: Merchant City Medical Group will not be held liable for any associated costs connected with having aftercare or follow up treatment to deal with any possible complications, this includes travel, accommodation or economic costs to the client relating to time taken off work or loss of potential earnings.
2.12: Merchant City Medical Group can provide a guideline as to how long any given procedure will take to complete. Due to numerous variables, the procedure may be shorter or longer than estimated.
2.13: Merchant City Medical Group reserves the right to cancel the procedure in the interest of patient safety in such cases where the patient is deemed to be under the influence of drugs or alcohol. In such an event, the non refundable deposit will be retained as a cancellation charge.
2.14: The non refundable deposit will be retained as a cancellation charge if it is deemed that the patient has failed to disclose known medical conditions or other possible contra-indications to treatment to Merchant City Medical Group in advance of their procedure that subsequently result in the cancellation of their treatment in the interest of patient safety.
2.15: If a procedure is cancelled on the day on medical grounds, the Medical Group will advise of any measures the patient needs to take and will attempt to reschedule the procedure once. If the patient does not wish to reschedule and/or cannot reschedule for medical reasons, the Medical Group will retain full payment for the procedure as a cancellation charge.
Article 3.0: Payments
3.1: The patient will be quoted a fee during a personal consultation or by photo analysis. Merchant City Medical Group will complete the work for that fee.
3.2: A non refundable deposit of £1000 must be paid in advance to secure the patient´s chosen procedure date. The deposit sum can be paid by card over the telephone, by cash in person or by bank transfer. Until such time as a deposit is placed, the patient´s desired booking date will remain available for other patients to reserve.
3.3: The balance will be paid on the morning of the procedure if paying by card or cash. Bank transfers must be initiated in advance to ensure all funds have cleared by the chosen procedure date.
3.4: We accept: Visa and MasterCard, cash and bank transfers, please note we do not accept checks, American Express or Laser cards. Card payments must be accompanied with photographic ID
3.5: If paying by card on your procedure day, please advise your bank of the payment in advance so that they are aware it is a genuine transaction. Payment must clear prior to the procedure commencing, so any issues with blocked transactions may result in the cancellation of your surgery and the retention of your deposit..
Article 4.0: Appointments and Cancellations
4.1: A non refundable deposit of £1000 will be charged to secure your booking. Should you cancel once the non refundable deposit has been placed or fail to arrive for your procedure, the non refundable deposit will be retained as a cancellation charge.
4.2: The deposit is non refundable. Cancellations due to emergency or illness will be assessed on an individual basis and in such instances, we will always endeavour to be as flexible as possible in terms of rescheduling an alternative surgery date. Postponements caused by unforeseen events will be assessed on a case by case basis. In all other instances, if you request cancellation of your reservation, the deposit sum will be retained.
4.3: Merchant City Medical Group will endeavour to ensure that your procedure runs to schedule, however, for reasons beyond our control, we may need to cancel or postpone your procedure at short notice. In this unlikely event, every effort will be made to contact you in advance. We do not offer compensation if we cancel your procedure.
4.4: Merchant City Medical Group reserves the right to amend booked surgery dates. Such changes are rare and are undertaken in the patient´s best interest and safety. In the unlikely event of a surgery date amendment, the deposit sum and other payments will be transferred to the next available date.
4.5: Merchant City Medical Group will not be liable for costs arising from scheduling changes in the provision of our hair transplant services, including (but not exclusive to) travel costs, accommodation costs, any economic cost to the client relating to time taken off work or loss of potential earnings.
Article 5.0: Payments

5.2: A non refundable deposit must be paid in advance to secure the first session date, this can be paid by card over the telephone, by cash in person or by bank transfer. Until such time as a deposit is placed, the client´s desired booking date will remain available for other clients to reserve.
5.3: The balance will be paid on the day of the first session if paying by card or cash. Bank transfers must be initiated in advance to ensure all funds have cleared by the first session date.
5.4: The client will receive a receipt for each payment.
5.5: We accept: Visa and MasterCard, cash and bank transfers, please note we do not accept checks, American Express or Laser cards. Card payments must be accompanied with photographic ID.
5.6: If paying by card on your procedure day, please advise your bank of the payment in advance so that they are aware it is a genuine transaction. Payment must clear prior to treatment commencing, so any issues with blocked transactions may result in the cancellation of your session and the retention of your deposit.
Article 6.0: Appointments and Cancellations
6.1: When you ask us to schedule treatment for you, we must do several things in advance of your chosen date:
Reserve the treatment room and treatment time for you
Order and pay for any treatment supplies or sundry items that are required to fulfil your treatment
Secure the necessary specialised technicians that will be needed, and/or provide coverage to free them up from their other responsibilities. We must guarantee that we will pay them for this time regardless of whether or not you have treatment
We must turn down every other client who would like to have treatment on the day and time we have reserved for you. Because of the financial and time commitments we must make, we ask that you be definite about your desire for treatment and be certain that you have the funds available before asking us to schedule your treatment.
6.2: A non-refundable deposit will be charged to secure your booking. If you request cancellation of your treatment or are unable to attend for any reason, the non-refundable deposit will be retained as a cancellation charge.
6.3: If you are financing your treatment, do not request us to reserve a treatment date for you unless you are certain that you wish to proceed with treatment. If you later cancel your treatment, a calculation will be made accordingly as laid out in article 6.1 to include any direct charges imposed on the Medical Group by the finance company for the provision of these services.
6.4: Cancellations due to emergency or illness will be assessed on an individual basis. Postponements caused by unforeseen events will be assessed on a case by case basis. In all other instances, if you request cancellation of your reservation, the deposit sum will be retained as a cancellation charge.
6.5: Requests for the Medical Group to change your treatment date cause major disruption to the provision of our services for other clients. Five working days of notice are required to postpone your booked appointment. This allows sufficient time for the session to be reallocated. If the client does not notify the Medical Group of the postponement, charges will be incurred as follows:
If the request to change your first treatment date is made less than 5 working days prior to your scheduled treatment, there will be a rescheduling fee equal to the minimum hourly fee to compensate the Medical Group for the loss of time.
After completing your first treatment, if you request to change any subsequent treatment dates with less than 5 working days of notice before the date we have reserved for you, there will be a rescheduling fee equal to the minimum hourly fee of to compensate the Medical Group for the loss of time.
After the treatment is considered complete and outside of the 60 month time period from the date of the first session, work will be chargeable at our hourly rate with a one hour minimum fee to be paid in advance. Should you fail to attend or cancel with less than 5 working days’ notice, the hourly fee will be retained as a cancellation charge to compensate the Medical Group for the loss of time.
6.6: Should you arrive for your treatment session without any means of paying the agreed treatment cost that is due, Merchant City Medical Group reserves the right to cancel your session. An additional administration fee would be chargeable to reschedule your treatment to an alternative date.
6.7: Treatment sessions do not carry a specific value therefore the treatment quote given to the client covers the treatment in its entirety. Once you have commenced treatment with us, should you decide to discontinue treatment, the Medical Group shall not be liable to reimburse you for any value in whole or in part of sessions not yet undertaken.
6.8: Treatment sessions do not carry a specific value therefore if you have an agreement with the Medical Group to divide your balance in two parts over session 1 and session 2, you will be liable for the full cost of the treatment should you decide to discontinue treatment with a balance still outstanding for your treatment.
6.9: Merchant City Medical Group will not be liable to reimburse/refund in whole or in part against treatments that have already been completed.
6.10: Merchant City Medical Group will endeavour to ensure that your appointment runs to schedule, however, for reasons beyond our control, we may need to cancel or postpone your treatment at short notice. In this unlikely event, every effort will be made to contact you in advance. We do not offer compensation if we cancel your appointment.
6.11: Merchant City Medical Group will not be liable for costs arising from scheduling changes in the provision of our Scalp MicroPigmentation services, including (but not exclusive to) travel costs, accommodation costs, any economic cost to the client relating to time taken off work or loss of potential earnings.
Article 7.0: Licensing
7.1: Merchant City Medical Group is licensed by the local authorities to perform treatments; micropigmentation and tattooing fall under this category.
Article 8.0: Premises
8.1: Merchant City Medical Group will ensure adequate sanitary accommodation is available.
8.2: Merchant City Medical Group shall ensure sanitary convenience is clean and in efficient order.
8.3: Each treatment room will be equipped with a suitable wash basin with running water.
8.4: All needles used for SMP come sterilised, are single use and are disposed of after use according to local regulations. Needles are never reused or carried from one session to another.

Article 2.0: Treatment
2.1: PRP/Mesotherapy treatment is the choice of the client and the client alone and the client agrees to any actions or conducts reasonably necessary to perform the treatment.
2.2: The client understands that there may be some slight discomfort associated with the treatment
2.3: When undertaking Platelet Rich Plasma/Mesotherapy treatment, you are paying for our knowledge and years of experience and dedication to excellence in hair restoration. The practice of medicine is not an exact science and the results of this or of any other medical procedure are not entirely up to the practitioner as the response of each individual is different and therefore an exact outcome cannot be fully guaranteed. You do fully understand and agree that you are paying for the aforementioned skills and knowledge, but not for a specific result.
Article 3.0: Payments

3.4: If a treatment package is being undertaken, full payment for the package must be settled either in advance of the first treatment session or on the day of the treatment session at the latest.
